Team Management

Invite team members, assign roles, and manage access to your LeadFuel account.

Before You Start

  • A LeadFuel account with Admin role
  • Pro or Enterprise plan (Starter plan includes 1 user)

Invite a Team Member

Go to Dashboard → Settings → Team and click Invite Member.

  1. 1Enter their email address
  2. 2Select a role:
  3. 3 - Member — can view leads, scan badges, approve emails, add rep notes
  4. 4 - Admin — full access including settings, integrations, and team management
  5. 5Click Send Invite

They'll receive an email with a link to set up their account. The invite expires after 7 days.

Assign Admin role sparingly. Members have everything they need for booth operation and lead review.

Manage Existing Members

From Dashboard → Settings → Team, you can manage your team:

  • Change role — click the role dropdown next to a member's name
  • Deactivate — removes login access without deleting their data (captures and rep notes are preserved)
  • Reactivate — restore access for a previously deactivated member

Deactivating a user frees up a seat on your plan without losing any historical data.

Manage Pending Invites

Invites that haven't been accepted appear in the Pending Invites section. You can:

  • Resend the invite email (useful if it went to spam)
  • Cancel a pending invite

If an invite has expired (after 7 days), cancel the existing one and send a new invite.

Booth Access Codes vs. Team Accounts

There are two ways to give someone booth access:

Team account — best for sales team members who use the dashboard to review leads, approve emails, and manage events. Requires setting up an account with email/password.

Booth Access Code — best for reps at the booth who only need to run the desktop app for one event. No account setup required. Access is event-scoped and expires after 24 hours.

For large events with many temporary reps, Booth Access Codes are faster than creating full accounts for everyone.

Troubleshooting

The invited member can't find the email
Ask them to check their spam folder. If the invite has expired, cancel the existing one and resend from Dashboard → Settings → Team → Pending Invites.
I hit my user limit
Your plan has a maximum number of active users. Deactivate users who no longer need access to free up seats, or upgrade your plan for more capacity.
