Lead Management
Review, filter, grade, and take action on every captured lead from your dashboard.
Before You Start
- A LeadFuel account
- At least one captured lead (scan a badge or use the capture page)
View Your Leads
Go to Dashboard → Leads to see all your captured leads. Each row shows the contact name, company, event, lead grade, email status, and processing status.
You can sort by any column and the list updates in real-time as new leads are processed.
Filter and Search
Use the filters at the top of the leads list to narrow your view:
- Filter by event — select a specific event from the dropdown
- Filter by tag — click a tag to see only leads with that tag
- Filter by grade — show only A+, A, B, C, D, or F leads
- Filter by status — show leads in a specific processing state
- Search — type a name, email, or company to find specific leads
Filters can be combined. For example, show only A-grade leads from a specific event.
Understand Lead Grades
LeadFuel automatically grades each lead from A+ (strongest) through F (weakest) based on multiple signals:
- ICP Fit — company size, industry, and revenue from enrichment
- Engagement — conversation engagement level and sentiment
- Authority — management level and decision-making power
- Urgency — timeline, budget signals, and need urgency
- Conversation Quality — pain points identified, next steps agreed, products discussed
Use grades to prioritize follow-up. Start with A+ and A leads, then work down.
Lead grades are calculated after AI analysis completes. If a lead shows no grade, it may still be processing or may lack sufficient conversation data.
Review a Lead Detail Page
Click any lead to open its detail page. You'll see:
- Contact information — from OCR + enrichment
- Company firmographics — employees, revenue, industry, location
- CRM match status — linked Salesforce or HubSpot contact/account
- AI conversation analysis — BANT signals, sentiment, pain points, next steps
- Follow-up email — AI-generated subject and body
- CRM notes — structured notes ready for your CRM
- Tags — AI-assigned and manual tags
- Audit trail — history of all pipeline steps
All fields are editable — click any field to update it.
Review and Approve Follow-Up Emails
Each processed lead has an AI-generated follow-up email. To review and approve:
- 1Open the lead detail page
- 2Scroll to the Email section
- 3Review the subject line and body
- 4Edit inline if needed — click any text to modify
- 5Click Approve Email to queue it for sending
Approved emails are sent at the next scheduled send window (weekdays 1–5pm ET by default).
To regenerate an email (e.g., after adding rep notes), click Regenerate Email.
Review emails the same day as the event while conversation details are fresh. The AI drafts are a starting point — adding a personal touch makes them even more effective.
Manage Tags
Tags help organize leads by product interest, topic, or qualification status.
AI-assigned tags appear automatically based on conversation content (marked with an 'AI' badge). You can remove or change them.
Manual tags: Open a lead → click the Tags section → select or create tags.
Tag library: Go to Dashboard → Tags to create, edit, and color-code tags for your team. Tags are shared across all team members.
Use tags to filter leads in the list view — click any tag to see all leads with that tag.
Export Leads
Export leads from an event for reporting or external use:
- 1Go to Dashboard → Events and select your event
- 2Click Download Report
- 3Choose CSV (all lead fields including enrichment data) or PDF (formatted report with summary statistics)
The CSV export includes all contact information, enrichment data, AI analysis fields, email content, grades, and tags.
