Events Management
Create and configure trade show events, generate booth access codes and QR codes, and download event reports.
Before You Start
- A LeadFuel account
Create an Event
Go to Dashboard → Events and click Create Event.
Fill in the event details: - Name — the name of the conference or event (e.g., 'AWS re:Invent 2026') - Description — optional notes about the event - Start Date / End Date — event dates - Location — venue city or full address - Lead Goal — optional: target number of leads for ROI reporting - Budget — optional: event investment for ROI calculations
Click Save. The event is now available in the badge capture dropdown and the desktop app.
Create events at least a few days before the conference so your team can verify everything works before arriving at the venue.
Link to a CRM Campaign
For campaign attribution, link your event to a CRM campaign:
- 1Open the event → Edit
- 2In the Salesforce Campaign or HubSpot List field, search for and select the campaign/list
- 3Save the event
When leads are captured, LeadFuel automatically adds them as campaign members in your CRM. This attribution data connects booth conversations to downstream pipeline.
Important: Link the campaign before the event starts — attribution can't be retroactively applied to already-processed leads.
Set a Custom Email Prompt
Customize how the AI writes follow-up emails for a specific event:
- 1Open the event → Edit
- 2In the Custom Email Prompt field, add event-specific context
Examples: - 'This was a cybersecurity conference — leads are typically security-focused buyers' - 'Our booth focused on our new disaster recovery product launch' - 'The event audience is primarily healthcare IT directors'
The AI incorporates this context when writing follow-up emails for leads from this event, in addition to your brand voice configuration.
Generate a Booth Access Code
Booth Access Codes let reps use the desktop app for a specific event without full account credentials:
- 1Open the event detail page
- 2Click Generate Booth Code
- 3Share the code with the rep
- 4They enter it on the desktop app login screen
Access is scoped to this event only and expires after 24 hours. This is ideal for reps who only need to run the desktop app at the booth — no account setup required.
Generate a QR Code for Guest Capture
Let visitors scan their own badges without needing a LeadFuel account:
- 1Open the event detail page
- 2Click Generate QR Code
- 3Download and print the QR code for display at your booth
When visitors scan the QR code with their phone, it opens the capture page pre-configured for your event. They take a photo of their own badge and submit it — the lead goes through the full processing pipeline automatically.
This is useful for unattended kiosks or high-volume booths where reps can't scan every badge.
View Event Reports
After an event, generate a summary report:
- 1Open the event detail page
- 2Click Download Report
- 3Choose CSV or PDF format
The report includes: - All leads with contact information and enrichment data - Lead grade distribution - Email status summary - Conversation analysis highlights - ROI metrics (if budget and lead goal were set)
